DEFENDERS Sr Administrative Assistant to trueU Super Service Challenge in INDIANAPOLIS, Indiana
Roles and Responsibilities:
The role of the Super Service Challenge Program Senior Administrative Assistant is to ensure efficient and timely operations of the office so as to support and enhance the work of the organization. The Senior Administrative Assistant will support the program goals of the Super Service Challenge and will work under the supervision of both the Program Executive Director and the Program Collaborator.
Provide office support to include phone, voicemail, email, website, calendar management, record-keeping, filing, and ensuring that office equipment and supplies are in accurate
Prepare mailings including written correspondence
Manage the SSC Program registration process, working closely with nonprofit organizations
Maintain, update, and provide analytic reports for organizational data including but not limited to: award payouts, video submissions, nonprofit and volunteer registrations, event registration, vendors, and other organizational contacts
Maintain a complete, updated, and accurate mailing list and email distribution lists
Assist in the development and distribution of organizational newsletters and communications to stakeholders, nonprofits and program registration
Manage process with nonprofit organizations for distribution of awards
Coordinate and provide logistical support for all programs
Coordinate all travel plans for Executive Director
Maintain updates/changes to Super Service Challenge website and social media channels, as requested by the Executive Director or Program Collaborator
Support the work of the trueU and trueU Board of Directors with timely distribution of materials
Perform other specific projects as determined by the Executive Director
Background and Minimum Experience: The SENIOR ADMINISTRATIVE ASSISTANTwill have a background that includes:
Minimum 5 years of experience in office or program administration preferred
Excellent computer skills in word-processing, database management, spreadsheets, website management and posting, and electronic communications software
Excellent ability to organize, manage multiple tasks, and be flexible in work assignments
Excellent initiative and independent work skills
Excellent written and verbal communication skills
Demonstrates professionalism when integrating with SSC partners and influencers
Support and passion for the Super Service Challenge Program mission and vision
Physical Qualifications: The SENIOR ADMINISTRATIVE ASSISTANTwill have physical qualifications that include:
Must be able to lift 25lbs.
Must be able to work under stress and interruptions.
Must be flexible to evening and weekend hours on occasion.
Must be able to travel (less than 15%).
